Acceptance of terms
Stewardship is the operating name of Stewardship Services (UKET) Limited ("We"). We are a registered charity (number 234714) governed by Christian principles and a company limited by guarantee, registered in England (number 90305). Our registered office and main operating address is:

Our aim is to encourage and assist giving in the Christian community. We want to see the generous use of money transform the lives of those that give, those that receive and those that ultimately benefit from the giving. We encapsulate this in the term “transforming generosity”.
We work in partnership with:
Givers - those who support the Christian work of individuals, projects, churches and charities; and
Recipients - the organisations and individuals who benefit from the giving and wish to effectively and responsibly use the financial resources provided.

A Gift is a transfer of money or other financial assets to Stewardship. Gifts are made into the Giver's Stewardship account. Once completed a Gift to Stewardship forms part of our charitable funds and cannot be returned to the Giver.
A Giver (sometimes also known as ‘donor’) is an individual or organisation that makes a Gift to Stewardship. Once a Gift is made to Stewardship it forms part of our charitable funds and it cannot be returned to the Giver.
Where a Giver is eligible and has completed a Gift Aid declaration, we reclaim the tax from Her Majesty’s Revenue and Customs (HMRC) under the Gift Aid scheme.
Stewardship distributes Grants from our charitable funds.
Those receiving Grants from Stewardship may be a charity, a charitable project, a church, a Christian worker or a Bible College student and are known as aRecipient (also known as ‘beneficiary’).
All Recipients are approved by Stewardship as undertaking work consistent with our objectives and, in order to facilitate the periodic distribution of Grants, we set up a Recipient Fund for each Recipient.
A Giver may express a preference to Stewardship that Gifts are allocated to a Recipient, known as a Preferred Recipient, and distributed as Grants. They may also express a preference for any Reclaimed Tax to be allocated and included in a Grant.
Based on the preferences expressed by the Giver, Stewardship make Gift Allocations to Recipient Funds. However, we must satisfy ourselves that such action is appropriate and meets our charitable purposes. In order to help manage this, we allocate an annual limit or Cap to each Recipient above which Grants will not be distributed.
Stewardship will, at its discretion, determine whether the work of a church, charity or individual continues to be eligible to receive Grants. Should the Recipient no longer be eligible, we will remove the Recipient from our approved list and no longer distribute Grants to that Recipient.
Once the Gift Allocations have been processed they become Available Funds in the Recipient's Stewardship account but remain part of the charitable funds of Stewardship until a Grant has been distributed by transferring money from the Recipient's Account to the Recipient’s bank account.
In our communications and in the Online Service, we sometimes refer to the combination of Stewardship allocating a Gift to the Recipient Fund and sending a Grant payment to the Recipient’s bank account, as making a Donation.
We usually advise the Preferred Recipient of the Giver who expressed a preference but if the Giver does not wish us to do this, they can elect to remainAnonymous.
Givers are provided with a Stewardship Giving Account to enable them to make Gifts to us and to advise us of their Preferred Recipients.
Each Recipient's Gift Allocations are managed through a Stewardship Recipient Account which enables the Recipient to view the Gift Allocations and Grants distributed.
Stewardship Grants to those Recipients which are churches or charities are normally distributed to their General Funds and so can be used for any of their charitable purposes. Those Recipients can, however, set up specific Recipient Projects, to which they would like Grants to be distributed.
We have provided the Online Service to enable Givers and Recipients to view and manage their Stewardship Accounts more easily over the internet.
A Stewardship Account holder may authorise a User to manage their Account. Only Account holders and authorised Users will be able to use the Online Service or discuss the Account with our Giving Services team.
Terms for our giving services - For givers
Gifts into your Giving Account
You may make Gifts into your Stewardship Giving Account on a regular or one-off basis as set out in the following table:
Regular Gifts may be set up to be monthly, quarterly, six monthly or annually and they may be amended through the Online Service or our Giving Services team.
Once Gifts have been made into your Giving Account they cannot usually be returned to you. However, if an incorrect amount is paid into your Giving Account through a manifest error, so long as we are advised within a period of 7 days, we will attempt to correct the error. If Stewardship has distributed a Grant to your Preferred Recipient, we will attempt to reclaim the Grant from the Recipient. We will also attempt to adjust the Gift Aid position in relation to HMRC. However we accept no liability if the Grant cannot be reclaimed from the Recipient or if we cannot adjust the position with HMRC. We may make a charge to your Giving Account to cover our costs for undertaking or attempting to undertake such a process.
Direct Debit payments
We agree to comply with the Direct Debit Guarantee scheme and details of our obligations and undertakings are set out on the Direct Debit mandate and on the Stewardship website.
Gifts by Credit/Debit card
In order for us to process Gifts into your Stewardship Giving Account by credit or debit card, you must ensure that we have up to date, complete and accurate details of your name and address. If our records are not full and complete, transactions may be rejected as this information may be used to validate the card transaction.
For your protection and to guard against fraud we may require the use of Verify by Visa and MasterCard SecureCode systems.
When a Gift is made into your Giving Account the transaction is final and not disputable unless unauthorised use of your payment card is proven. If you become aware of unauthorised use of your card, or if it is lost or stolen, you must notify your card provider immediately in accordance with their guidelines.
In order to comply with fraud protection and anti money laundering legislation we need to fulfil certain obligations before we can process the Gift to Stewardship. We may therefore need to contact you for further information. We make an additional charge to cover credit/debit card processing costs. Current applicable charges may be found in Stewardship's website (www.stewardship.org.uk).
You may express a preference for Gifts to be allocated to a Recipient’s Stewardship account and consequently for Grants to be distributed to that Recipient. In our communications and in the Online Service, we sometimes refer to the result of these two processes as a ‘donation’.
If you would like a Gift to be allocated you should confirm that the intended charity or individual has been approved by us and has a Stewardship Account. You can do this by searching our Recipient directory through the Online Service or by contacting our Giving Services team. If we have not previously distributed a Grant to a particular charity or individual, we will need to determine their eligibility, approve them as appropriate to receive Grants from us, and set up a Recipient Fund and Stewardship Account for them.
Gifts to a charity should not result in a personal benefit being received by the giver or their close relative. Our policy is, therefore, that gifts should not be requested using funds in your account with Stewardship to support the purchase of goods or services (whether from a charity or otherwise), nor to pay membership or subscription fees.
You are responsible for selecting the correct Preferred Recipient. Some Recipients may elect to be excluded from the Recipient directory and if you are in any doubt regarding the identity of a Recipient, it is recommended that you contact our Giving Services Team. Should a regular Giver’s Preferred Recipient no longer be eligible to receive a Grant from Stewardship, we will contact you to advise that we will no longer be able to make Grants to the Preferred Recipient.
In line with Gift Aid regulations, you must not express a preference for a Recipient who is a Bible College Student and a close relative of yourself or your spouse. If you express a preference for a Recipient who is a Christian worker and a close relative of yourself or your spouse, the Grant must only be used by the Recipient for ministry expenses and not to meet living costs.
In the event that a Grant is distributed to a Recipient other than the one intended, so long as we are advised within a period of 6 months from the Grant being made, we will attempt to reclaim the Grant from the actual Recipient to which the Grant was distributed and transfer it to the intended Recipient. However we accept no liability if the Grant cannot be reclaimed from the actual Recipient and consequently the Grant cannot be distributed to the intended Recipient. In addition, we may make a charge covering our costs for such a process. Beyond a period of 6 months we are unable to reassign Grants.
If an incorrect amount of Grant is sent to a Preferred Recipient, so long as we are advised within a period of 7 days from the Grant being distributed, we will attempt to reclaim this Grant from the Recipient and transfer the intended Grant amount instead. We will also attempt to adjust the position with HMRC should there be any impact on Gift Aid. However we accept no liability if the Grant cannot be reclaimed from the Recipient and consequently a revised amount of Grant cannot be distributed or if we cannot adjust the position with HMRC. In addition, we may make a charge covering our costs for such a process.
Our Grant Policy
The Gifts received by us form part of the charitable funds of Stewardship thus enabling us to reclaim tax under the Gift Aid scheme. Legally, and in order to maintain the integrity of our support for charities and Christian work, our Trustees are able to decide, in their sole discretion, how our charitable funds are used.
There are a number of situations where it may be inappropriate for Stewardship to distribute a Grant to a Recipient such as:
- when the Grant no longer satisfies our charitable purposes (for example, where an individual is no longer undertaking approved Christian work);
- when the Grant would provide a private rather than public benefit;
- when the Grant would be distributed to a close relative of the Giver;
- when the Grant would exceed the limit which has been set by Stewardship.
If we are unable, for any reason, to distribute a Grant to a Preferred Recipient, the funds will remain in or revert back to your Giving Account and you will have the opportunity to express a further preference.
Your Gift Aid declaration and change in your tax liability
If you have signed a Gift Aid declaration you need to be aware of the following:
You should pay enough tax in any one tax year to cover the amount reclaimed by us, (and any other organisation receiving Gift Aid donations from you), on your giving. Relevant tax is any income tax (at whatever rate) or capital gains tax.
If you cease to be a taxpayer, or to pay sufficient tax, you must notify us. If too much tax is recovered on your giving, HMRC will recover the excess tax from you and not from Stewardship.
We are unable to reclaim tax if the Gift is on behalf of a group, company or another individual.
Your recovery for Gift Aid should not be based on the tax paid by another person (e.g. husband or wife) but by you personally. So if you cease to have a tax liability, but your spouse pays tax, you cannot simply rely on the tax they have paid. They will need to open their own Giving Account with us and make their own Gift Aid declaration.
Once a Gift has been made, Stewardship will not usually be able to adjust the tax status of the Gift and are not under any obligation to do so. Should we be able to make changes, we retain the right to make a charge to your Giving Account for any costs incurred undertaking such a process.
Subject to this, you may withdraw your instructions to us to reclaim tax on your behalf at any time by notifying our Giving Services team.
All Givers are able to receive a book of vouchers which represent requests to us to make Grants to Recipients. Instructions on using vouchers are provided in the voucher book.
The Recipient completes the reverse of the voucher and sends it to us. Subject to our Trustees discretion, our Giving Services team process the voucher and allocate the Gift to the Fund of the Preferred Recipient. Vouchers cannot be processed through the Online Service.
Statements and reports
Information about your giving may be viewed in a secure environment through the Online Service.
In addition, statements may be periodically sent to you by post or other means. You may request additional statements and we may make a charge for this service.
Projects and specified purposes
Grants to charitable organisations will normally be applied to their General Funds. However you may request for the Gift to be allocated for a specific purpose by selecting a Recipient Project, specifying an area of work or providing a specific reference to this effect. We retain discretion over the allocation of all Gifts and will not distribute a Grant for a non-charitable purpose.
Stewardship provides the ability for Givers to send secure messages to Recipients. This service is to enable both parties to communicate and provide information in a safe and secure environment. Such messages should not be used for the purpose of specifying the use of any Grant distributed by Stewardship as this will be disregarded by our system and will not influence Stewardship in the use of the Grant for a particular purpose.
Investment of funds
Gifts made into a Giving Account and awaiting allocation may be invested by Stewardship and any resulting income will belong to and be used to support the work of Stewardship.
Gifts will not be allocated to a Recipient Account unless there are sufficient cleared funds in your Giving Account.
When making a Gift, Givers can express a preference that some or all of the Gift (and any associated tax reclaimed) is allocated to the recipient.
Gifts will only be allocated by Stewardship to the Preferred Recipient once the Gift has cleared and funds have been received by Stewardship.
If no preference is expressed at the time of making a Gift, it will not be possible to request that the Gift is allocated to a recipient until the Gift is cleared and the gift forms part of the accounts Available Balance.
Overdrawn balances are not available on a Giving Account and if your Account does become overdrawn for any reason we will notify you and ask you to make a payment to return it to credit. Where this situation arises we reserve the right to apply a charge to your Account to cover our costs.
Distributing Reclaimed Tax
Where you have indicated that you are eligible for us to reclaim tax on a Gift to Stewardship, we will reclaim tax under the Gift Aid scheme. The time taken to receive the tax is dependent on HMRC. You may express a preference that any Reclaimed Tax be included in a Grant to the Recipient or, alternatively, it may be retained in your Giving Account, in which case it is then available for other Grants, subject to our normal procedures.
Higher rate taxpayers
If you pay tax at the higher rate you may be entitled to relief on the difference between the basic and higher rates of tax. This may be claimed via your tax return or by contacting your tax office.
Membership Retention for Giving Account holders
A percentage of the Gifts made to your Giving Account (including any reclaimed tax) will be retained by Stewardship for our general purpose funds. Part of this represents the cost of Grant administration and is subject to VAT. The remainder contributes towards the costs of servicing your membership with us (including the provision of our regular members’ magazine and brochures).
Where we incur additional costs relating to Gifts in to your Giving Account, such as for credit or debit card use, we reserve the right to make an additional charge to cover these costs. We also reserve the right to make additional charges to reflect other costs incurred by us in administering your Account.
When tax is reclaimed, the membership retention will be taken from the Reclaimed Tax and where there is no tax to be reclaimed it will be deducted directly from the initial Gift into your Giving Account.
Minimum and maximum levels of membership retention may apply.
We reserve the right to modify our membership retention and/or other charges, current details of which can be found on Stewardship's website (www.stewardship.org.uk).
We cannot offer joint accounts in the conventional sense, as each person is treated as an individual for tax purposes, regardless of their marital status. For tax recovery purposes the Giving Account must be in the name of a single taxpayer, the person who made the original Gift Aid declaration. Payments into a Giving Account should be funded from a bank account (single or joint), credit card or debit card in the name of the Stewardship Account holder.
You can assign an additional User to manage the Giving Account on your behalf.
The Online Service
Stewardship has provided the Online Service to enable you to view and manage your Stewardship Accounts more easily over the internet.
In order to use the Online Service the Account holder must have access to the internet and provide us with a valid and current email address.
Givers and Recipients can obtain assistance in using the Online Service from our Helpdesk during working hours.
A Stewardship Account holder may authorise a User to obtain information and provide details in relation to their Account.
Only Account holders and authorised Users will be able to gain access to the Online System, obtain and provide details about their Account or discuss the Account with our Giving Services team. When you or an authorised User phone Stewardship regarding your Account, we will ask questions to establish and verify identify prior to undertaking any action.
You may leave written guidance as to how you would prefer the funds in your Giving Account(s) to be allocated following your death.
Whilst being under no legal obligation to do so, we would usually carry out these wishes provided that such Grants fall within our charitable objects and the Recipient is eligible to receive Grants from us. No amounts can be repaid to your estate.
If no post-death stated preferences have been left at the date of your death and no successor has been appointed, the funds in your Giving Account will be used at the discretion of our Trustees.
If a Giving Account appears to be dormant based on no transaction activity on the Account for a period of 24 months and, after due enquiry, we are unable to ascertain the preferences of the Giver (or their successor(s)), the funds in the Account will be used at the discretion of our Trustees.
Closing your Account
You are free to close your Giving Account at any time. Upon your advice we will cancel any Direct Debit collections not currently in process. Any funds in your Account will need to be allocated to an approved Recipient and cannot be returned to you.
In addition to our normal giving services Stewardship provide a service to individuals who wish their employer to make gifts to Stewardship from their payroll before tax has been deducted.
A Giver is an individual that requests an employer to make gifts to Stewardship from their payroll.
A Gift is a payment made into to the Giver’s Stewardship Payroll Giving Account by the employer. Once this Gift is made into their Stewardship Giving Account, it cannot be returned to the Giver.
The employer may make gifts into a Giving Account on a regular or one-off basis by direct debit, standing order, BACS payment or cheque.
The Giver may not use the Online Service to make gifts. However the Giver may use the Online Service to request gift allocations to recipients.
The employer will inform Stewardship of the amount to be made into the Stewardship Payroll Giving Account held on your behalf. All requests to change the Gift amount should be made through your employer; not Stewardship.
Stewardship will not reclaim tax on Gifts made through Payroll Giving.
Fees may be charged by Stewardship to the employer or yourself. Any Fee charged to you will be deducted from the payment made into your Giving Account.
The payment made by the employer will need to clear through our bank account before becoming an Available Balance. You will then be able to request to Stewardship that the Gift is allocated to a Recipient. This request may be facilitated through the Online Service, forms provided by your employer or directly to our giving services team.
Should there be a delay in the processing of a payment from the employer or a discrepancy between the amount paid by the employer and the amounts of gifts requested to Givers, this may cause a delay in Gifts being made into your Giving Account.
Stewardship will not be liable for any loss resulting from any delay, however caused, in the processing of payments from employers resulting in a Gift not being made to your Giving Account.
Terms for our giving services - For recipients
Gift Allocations into your Recipient Account
When a Giver makes a Gift to Stewardship and, at that time or subsequently, expresses a preference for a Grant to be distributed to you, subject to our Trustees discretion, we will make a Gift Allocation to your Recipient Fund.
Each Recipient Fund is subject to a financial limit (See ‘Grant restrictions’ below) and bank clearance. Once cleared these become Available Funds but remain part of the charitable funds of Stewardship until a Grant has been distributed by transferring money from this Account to your bank account.
Grants out of your Recipient Account
You will receive Available Funds from your Recipient Account by way of a Grant from Stewardship into your designated bank account. If you are a Christian worker or Bible college student, the Grant will be subject to periodic confirmation that you are still engaged in the activity which Stewardship has approved.
The Grant will be shown on your bank statement. Through the Online Service you will be able to view and download a full breakdown of the individual Gift Allocations. If you do not wish to access your Recipient Account online you can request a statement to be sent by post. We reserve the right to charge your Recipient Account for the provision of this service.
You will be able to request to withdraw Available Funds from your Recipient Account between regular Grant payment dates. When you do so, if you are a Christian worker or Bible college student, you will be required to confirm that you are still eligible to receive a charitable Grant from us and will only use the funds for charitable purposes.
Specifically you acknowledge that if a Grant has been made to you when it was not intended, for whatever reason, we reserve the right to recover such Grant, including any Reclaimed Tax, that may have accompanied it. We reserve the right to deduct the overpayment from your Recipient Account.
In order to ensure that a Grant to a Recipient satisfies Stewardship’s charitable purposes and operates within the regulatory environment, we will determine that the value of any Grant we distribute is appropriate. In order to help manage this and other situations, Stewardship will allocate an annual limit or Cap to the value of individual Grants or to the aggregate of multiple Grants over a period of time.
For Christian workers and Bible College students, the assessment of the Cap will be based on a number of factors including the Recipient’s other income, ministry expenses, role and location.
Where Grants reach or approach the limit, Stewardship may review the Cap, giving consideration to any additional information about changes in circumstance. However, the limits set are solely at the discretion of the Trustees of Stewardship and we are under no obligation to increase such limits.
Recipients may request details of their Cap from Stewardship at any time.
All limits will be periodically reviewed and Stewardship may request a Recipient to provide an update and confirmation of their current circumstances. If you fail to provide complete or accurate information when requested or if your purposes become inconsistent with our own we may suspend your access to the Online Service and reserve the right to terminate your Account.
Different procedures apply to overseas payments. We will distribute Grants on a regular basis only by sterling credit transfer to an overseas account for which the banks will apply their own charges. In view of this we may delay sending Grants until the Recipient Account balance reaches a minimum value.
If you change your bank details, you must advise us in writing and provide us with an original item of bank stationery in respect of your new account. Failure to do so will result in delays to Grants being distributed to you. It may also result in additional costs being incurred by us, in which case we reserve the right to make a charge to your Recipient Account to cover our costs.
Projects and specified purposes
Grants will normally be distributed for general purposes. However you may set up specific projects consistent with HMRC regulations to which Grants may be directed.
Givers may also express a preference that a Grant be distributed for a specific individual(s) or purpose. If such a Grant is distributed, whilst the Grant is not restricted in its use, we ask Recipients to give consideration to the preference expressed when determining how such Grants are used and where possible use the Grant for the purpose intended.
As part of our objective of helping communication between Givers and Recipients, we may also convey a separate message to you from a Giver. However, any message does not restrict the use of the Grant to any potential purpose referenced in the message.
Qualification for Grants
Stewardship will determine whether a gift can be allocated to your Account and whether you are eligible to receive a Grant. We will determine if any Grant to you is charitable and consistent with Stewardship’s objectives and policies and reserve the right to decline to distribute any Grant. Once you have received a Grant from us, it is your responsibility to ensure that the Grant is used only for purposes which are charitable under UK law and in line with the purpose indicated to us. In receiving a Grant from us, you warrant that this will be the case and you indemnify us for any breach of that warranty.
In order to meet our obligations to HMRC and the Charity Commission in relation to the payment of Grants the following will apply:
a) Recipients who are individuals
If you are a UK national we will need to know certain personal details, including National Insurance number.
Non UK Nationals
If you are not a UK national you must be working for a UK-based church/organisation and we will require written confirmation of your vocational status.
As a Christian worker you must be in substantially full-time Christian work. Short term workers and trainees in service for less than 6 months cannot be recognised as eligible to receive Grants.
Grants can only be used for ministry expenses (the cost of equipment, training, materials and other facilities relating to the actual work) or reasonable living costs (basic accommodation, food and other general living expenses).
If a Giver, who is a close relative of you or your spouse, has expressed a preference for a Grant to be distributed to you, it may only be used for ministry expenses and not living costs. We may monitor the value of Grants distributed in such situations and request details of the expenditure.
If you cease to be in full-time Christian service, you must notify us immediately as we may be required to discontinue payment of Grants. If there is a change to the nature of your Christian work, your sponsoring organisation or a significant change to your, or your spouse’s, income and circumstances generally you must notify us immediately so that we can obtain additional information and reassess your eligibility to receive Grants from Stewardship and the amount of the Grants. In the event of undue delay in notifying us of a significant change in your circumstances, you may be required to repay Grants received.
Bible College students
If you are a Bible College student on a full-time course (at least one academic year) with a UK Bible College that is recognised by us, Grants may be distributed to you towards the cost of fees or maintenance. In accepting the Grant you agree that you are still eligible to receive it and that it will only be used for these purposes.
You will not be allowed to receive Grants which have been funded by a close relative of yourself or your spouse.
You must notify us if your, or your spouse’s, level of income changes or your general circumstances change significantly.
b) Overseas churches and charities
If you are an overseas church or charity, your activities and your constituting documents must have purposes which are consistent with the charitable purposes established in UK charity law.
c) Other charitable projects
If you are a UK organisation or project that is not registered as a charity in UK, your activities and your constituting documents must provide adequate assurance to Stewardship that the funds will only be used in a way consistent with our charitable objectives.
Taxation of Grants to Recipients
Recipients, particularly Christian workers, may be subject to tax on the Grants they receive from us. It is the responsibility of the Recipient to determine this. We accept no responsibility for any issues arising on taxation of the Grants distributed to Recipients.
The Online Service
Stewardship has provided the Online Service to enable you to view and manage your Recipient Account more easily over the internet.
In order to use the Online Service you must provide us with a valid and current email address and you can obtain assistance in using the Online Service from our Helpdesk during working hours.
A Stewardship Account holder may authorise a User to obtain information and provide details in relation to their Account.
Only Account holders and authorised Users will be able to use the Online System, obtain and provide details about their Account or discuss the Account with our Giving Services team.
When you or an authorised User phone Stewardship regarding your Account, we will ask questions to establish and verify identity prior to undertaking any action.
Using the Online Service
Use of the Online Service is permitted on a temporary basis and we reserve the right to withdraw or amend this service without notice. We will not be liable if for any reason access to the Online Service is unavailable at any time or for any period.
You will be provided with login details (Username, PIN and Memorable Word) at the outset and you must choose your own new details upon using the Online Service for the first time. These are an important part of our security procedures and you must treat the details as confidential. If you become aware or suspect that others may have access to or knowledge of your login details or if you suspect any unauthorised use of your details, we recommend that you change them immediately and/or call our Helpdesk.
You are responsible for making all arrangements necessary for you to use the Online Service.
Intellectual Property Rights
The data and information you can access using the Online Service is protected by copyright, database and other laws relating to intellectual property. All rights in relation to such data and information and the design of the system are reserved by ourselves.
You may print off and download reports provided they are only used for your own purposes.
Information provided by third parties
Information about Recipients may be provided by them and we disclaim all liability and responsibility arising from any reliance placed on such information.
Where we provide links to other sites and resources provided by Recipients or other third parties, these links are provided for your information only. We have no control over the contents of those sites or resources, and accept no responsibility for them or for any loss or damage that may arise from your use of them.
Whilst we will endeavour to ensure that information provided by us is up to date and accurate we do not provide any guarantees, conditions or warranties in this regard.

- All conditions, warranties and other terms which might otherwise be implied by statute, common law or the law of equity.
- Any liability for any direct, indirect or consequential loss or damage incurred by any User in connection with using the Online Service or in connection with the use, inability to use or results of the use of information provided about their Stewardship Accounts or other material including, without limitation, any liability for:
- loss of income or revenue;
- loss of business;
- loss of profits or contracts;
- loss of anticipated savings;
- loss of data;
- loss of goodwill;
- wasted management or office time; and
- for any other loss or damage of any kind, however arising and whether caused by tort (including negligence), breach of contract or otherwise, even if foreseeable.
- Any losses attributable to your own failure to take precautions to prevent interception of or interference with any communications including failure to use and/or keep up to date firewalls and anti-virus software on your own computers.
This does not affect our liability for death or personal injury arising from our negligence nor our liability for fraudulent misrepresentation or misrepresentation as to a fundamental matter nor any other liability which cannot be excluded or limited under applicable law.
Information about you and access to your Account online
Any material you upload or information you provide will be considered non-confidential and non-proprietary, and we have the right to use, copy, distribute and disclose to third parties any such material for any purpose. We will not be responsible, or liable to any third party, for the content or accuracy of any information or material provided by you or any other User whilst accessing your Account online.
We have the right to remove any information or material which you have provided if, in our opinion, such information or material does not comply with our Acceptable Use policy.
Viruses, hacking and other offences
We will report and pursue to the full extent of the law any unlawful or malicious activity, including unauthorised access to data, introduction of malicious software, or disruption of service to the appropriate authorities under the Computer Misuse Act 1990.
Linking to the Online Service
You may link to our Online Service, provided you do so in a way that is fair and legal and does not damage our reputation or take advantage of it, but you must not establish a link in such a way as to suggest any form of association, approval or endorsement on our part where none exists.
You must not establish a link from any website that is not both operated by you or on your behalf and controlled by you.
Our facility must not be framed on any other site, nor may you create a link to any of our facilities other than the Online Service. We reserve the right to withdraw linking permission without notice. The website from which you are linking must comply in all respects with the content standards set out in our Acceptable Use policy.
We will provide assistance and support to Users during our normal working hours (as displayed on our website) through our Helpdesk. However, we will not be liable for any loss resulting from interruption to this service.
Acceptable use policy
This Acceptable Use policy sets out the terms between you and us under which you may use the Online Service. This Acceptable Use policy applies to all Users.
You may only access your Stewardship Account online for lawful purposes. You may not make access:
- In any way that breaches any applicable local, national or international law or regulation;
- In any way that is unlawful or fraudulent, or has any unlawful or fraudulent purpose or effect;
- For the purpose of harming or attempting to harm minors in any way;
- To send, knowingly receive, upload, download, use or re-use any material which does not comply with our content standards;
- To transmit or procure the sending of any unsolicited or unauthorised advertising or promotional material or any other form of similar solicitation (spam);
- To knowingly transmit any data, send or upload any material that contains viruses, trojan horses, worms, time-bombs, keystroke loggers, spyware, adware or any other harmful programs or similar computer code designed to adversely affect the operation of any computer software or hardware;
You also agree:
- Not to access without authority, interfere with, damage or disrupt:
- any part of the system;
- any equipment or network on which the system is stored;
- any equipment or network or software owned or used by any third party.
These content standards apply to any and all material which you contribute to the Online Service and to any interactive services associated with it. You must comply with the spirit of the following standards as well as the letter. The standards apply to each part of any contribution as well as to its whole. Contributions must:
- Be accurate (where they state facts);
- Comply with applicable law in the UK and in any country from which they are posted;
Contributions must not:
- Contain any material which is defamatory of any person;
- Contain any material which is obscene, offensive, hateful or inflammatory;
- Contain sexually explicit material;
- Promote violence;
- Promote discrimination based on race, sex, religion, nationality, disability, sexual orientation or age;
- Infringe any copyright, database right or trade mark of any other person;
- Be likely to deceive any person;
- Be made in breach of any legal duty owed to a third party, such as a contractual duty or a duty of confidence;
- Promote any illegal activity;
- or annoy any other person;
- Be used to impersonate any person or organisation, or to misrepresent your identity or affiliation with any person or organisation;
- Give the impression that they emanate from us, if this is not the case;
- Advocate, promote or assist any unlawful act such as copyright infringement or computer misuse.
Suspension and termination
We will determine, in our discretion, whether there has been a breach of our Acceptable Use policy through your use of the Online Service. When a breach of this policy has occurred, we may take such action as we deem appropriate.
Failure to comply with our Acceptable Use policy constitutes a material breach of the Terms of using the Online Service and may result in our taking all or any of the following actions:
- Immediate, temporary or permanent withdrawal of your right to use the Online Service;
- Immediate, temporary or permanent removal of any posting or material uploaded by you;
- Legal proceedings against you for reimbursement of all costs (including, but not limited to, reasonable administrative and legal costs) resulting from the breach;
- Further legal action against you;
- Disclosure of such information to law enforcement authorities as we consider reasonably necessary.
We will not accept liability for any costs, damages or expenses incurred by you as a result of actions taken by us in response to breaches of this Acceptable Use policy. The responses described in this policy are not limited, and we may take any other action we reasonably deem appropriate.
Stewardship are committed to protecting and respecting your privacy.
This policy and any other documents referred to in it, together with our other Terms, sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.
We will take all reasonable measures to protect any information you provide to us in accordance with the Data Protection Act 1998.
For this purpose, our representative is the Director of Business Systems.
Information we collect from you and process
- Information that you provide by completing one of our application forms.
- Additional or renewed information which you provide to us in writing, by email or by telephone.
- Information that you provide by using the Online Service.
- When you contact us, we will require you to answer questions in order to verify your identity before discussing your Stewardship Account and we may keep a record of any communication.
- We may also ask you to complete surveys that we use for research purposes.
- When you contact us by telephone we may monitor the call for training and security purposes.
- Details of transactions which we process for you.
- Details of access to the Online Service and the resources that you access.
- Historical data for compliance and Gift Aid audit purposes.
- Other data which is reasonably and fairly obtained to assist us in operating your Account and for statistical purposes.
We rely on the information which you provide to us. It is your responsibility to ensure that we are kept advised of any changes to your charitable objects or your personal information.
IP Addresses and Cookies
We may collect information about your computer including, where available, your IP address, operating system and browser type for system administration. This is statistical data about our Users’ browsing actions and patterns, and does not identify any individual.
When you access the Online Service one or more cookie files will be created on the hard drive of your computer. The purpose of these cookie files is to identify your computer and help ensure that communication between your computer and the Online Service remains secure.
Where we store your personal data
Access to your Account(s) will be through a secure link.
The data that we collect from you will be held on our computers in the UK or on computers operated by a third party on Stewardship’s behalf in the European Economic Area (EEA). At times limited data may be transferred to, and stored at, a destination outside the EEA for specific purposes related to system development and testing. Any third party holding data will be subject to the same operating standards as in UK.
Selected data may also be processed by our employees or developers operating outside the EEA.
All information you provide to Stewardship is stored on our secure servers. Any payment transactions by Direct Debit will be encrypted using SSL technology.
Where we have given you, or where you have chosen security codes (Username, Memorable Word or PIN) which enable you to use the Online Service, you are responsible for keeping these security details confidential.
Although we will use secure communication channels to minimise the risk to your personal data, we cannot guarantee the security of data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
Uses made of the information
We may use information held about you in the following ways:
- To ensure that access to your Stewardship Account online is presented in the most effective manner for you and for your computer.
- To provide you with information, details of additional services, newsletters and bulletins which we feel may interest you.
- To carry out our obligations arising in relation to the operation of our services and your Account(s).
- To notify you about changes to our service.
- To provide Recipients with details of Givers who have expressed a preference for Stewardship to distribute a Grant to them.
Disclosure of your information
We may disclose your personal information within the Stewardship group (companies/charities under the control of our Trustees).
If you are a Giver and have expressed a preference for Stewardship to distribute a Grant to a particular Recipient, we may disclose your personal information to that Recipient unless you have elected to remain Anonymous, in which case no personal information will be disclosed. This information is provided for the specific purpose of enabling Recipients or their representatives to acknowledge Grants distributed and to communicate to you details of their projects, mission and charitable work. If subsequently you do not wish to receive information from the Recipient you should advise them directly.
We may ask you confirm what information you would like to be communicated to individual, church or charity Recipients to whom you expressed a preference for us to make Grants.
If you are a Recipient we may disclose your relevant details to any Giver who has expressed a preference for Stewardship to distribute a Grant to you.
We will not sell or make available personal data to third parties for marketing purposes.
If you are a Recipient church or charity, we will provide the ability for a Giver to carry out a search of our approved Recipients and subsequently we may disclose your details to any potential Givers unless you choose to be excluded from such searches.
If you are a Christian worker, Bible College student or in some cases an overseas church or charity, we will not usually allow these details to be made available during a search unless you elect to be included.
It is the responsibility for each Recipient to ensure that their searchable status on our Recipient database is correct.
It is also the Recipients’ responsibility to maintain appropriate and accurate descriptions of their organisation, ministry, addresses, links to other sites, projects and associated bank accounts.
We may ask you to confirm what information you would like to be communicated to individuals or organisations that have expressed a preference for a Grant to be made to you or may be interested in so doing.
We may also disclose your personal information to other third parties:
- In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
- If Stewardship or substantially all of its assets are acquired by a third party, in which case personal data held by it about its clients will be one of the transferred assets.
- In order to meet HMRC regulations in relation to Gift Aid or other tax/regulatory compliance.
- To verify your identity in line with our responsibility for ensuring that Grants are accurately passed to the intended Recipients. We may undertake a search with a suitable agency that may check the details you supply against any particulars on any database (public or otherwise) to which they have access. They may also use your details in the future to assist other companies for verification purposes and a record of the search would be retained.
- In order to ascertain or confirm your whereabouts or ongoing inaccessibility or death particularly but not exclusively in the event that your Account becomes dormant but retains funds.
We will maintain data held on closed Stewardship Accounts for audit, regulatory and legal compliance purposes or subsequent follow up.
When you use the Online Service, you may find links to the websites of Recipients. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.
Access to information
The 1998 Data Protection Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a charge to meet our costs in providing you with details.
All our Terms and Policies are governed by English law and subject to the exclusive jurisdiction of the English Courts.
